Cancellation & Refund Policy

At Destination Finders International, we understand that plans can change unexpectedly. Our cancellation policy is designed to be fair to both our adventurers and our operation, ensuring transparency and mutual respect. 

Cancellation Notification

All cancellations must be submitted in writing via email aprilharringtonpa@gmail.com or call +1 (615) 419-3782 to our customer service team. The cancellation date is considered the date we receive the written notification. 

Deposit

  • The initial deposit is non-refundable but transferable to another person or future trip subject to the special conditions below.

  • Deposits secure your spot and cover initial administrative costs. 

Refund and Service Fees

Refund amounts vary depending on how far ahead of the trip start date the cancellation is received:

Special Conditions

  • Transfers: Bookings may be transferred to another individual with prior written notice, provided the request is made within 90 days of the original booking date. While this avoids cancellation fees, any applicable change fees must be covered by the new participant.

  • Force Majeure: In the event of natural disasters, government actions, or other extraordinary circumstances beyond our control, we will make every effort to offer a trip credit or refund.  However, if trip funds have already been used for non-refundable expenses (such as accommodations, transportation, or vendor payments), we may be unable to provide a full credit or refund.  Any reimbursement will be limited to the remaining recoverable balance.

  • Trip Cancellation by Destination Finders International: If Destination Finders International cancels a trip for any reason not related to force majeure events, participants will receive a full refund of all payments made. Please note that administrative fees of up to $1,000 may apply and will be deducted from the refund where applicable. These fees help cover planning, coordination, and other operational costs already incurred prior to cancellation. This clause is intended to clarify cancellations due to internal factors such as low group enrollment, logistical challenges, or issues with third-party vendors. In such cases, any refund or credit will be based on the portion of trip costs that can be recovered.

  • Travel Insurance: We strongly recommend purchasing travel insurance to protect your investment against unexpected cancellations or interruptions.

Refund Processing

  • Refunds will be processed within 30 business days to the original method of payment following cancellation confirmation.  This policy is designed to provide fair partial refunds based on the timing of the cancellation, while also accounting for administrative and operational costs already incurred.
